Showroom Coordinator
GENERAL OFFICE & SHOWROOM RESPONSIBILITIES
- Greet all visitors – 1st face of CIS Assist visitors with luggage drop off, shuttle or car service, setting up in appropriate conference rooms, ordering meals, etc
- Answer and maintain phone system- contact our phone provider for issues
- Empty dishwasher every morning, maintain clean kitchens, keep kitchen and serve ware organized and accessible for lunch and learns, presentations and Happy Hour events in showroom
- Provide a list monthly of items needed to restock kitchen accessories/dishes/paper goods – to Accounting Maintain a clean and tidy showroom, various cleaning required in addition to cleaning crew
- Communicate any specifics or concerns to cleaning crew
- Office manager responsibilities, building maintenance oversight -call landscapers, pest control, air conditioning, window washers, handyman
- Handle maintenance issues etc as needed Obtain quotes and prior approval from CFO before scheduling
- Inspect and clean showroom- Keep all sample chairs tagged and tracked in warehouse, keep showroom floor clear of boxes or samples, accessorize showroom with the base layout and put things back to original location if moved
- Clean fridge every 3 weeks
- Ship and distribute all US mail, FedEx, and UPS needs for business related items only
- Keep and monitor the conference room calendar for the office, know what rooms are available for internal meetings
- Trouble shoot telephone/computer/printer/copier/AV issues – obtain quotes and get CFO approval for repairs or maintenance
- Maintain the technology in all conference rooms ensuring that it’s working, documented and displayed in the rooms and have knowledge of how to use it
- Presentations – Lunch and Learns/Breakfast presentaions/Happy hour events – this is a key representation of us as a compnay and is important to know how to prepare and execute in a professional manner -order food, placesettings, drinks and be able to prepare and present, plate food and desserts, move furniture to appropriate layout based on sales team direction Set up, coordinate and display for an event
- Executive assistant to leadership team – Arrange travel for business trips, airfare, hotel, etc
- Monitor and track office and kitchen supplies. Provide a list to Accounting of office supplies needed each month for replenishment
SALES TEAM SUPPORT
- Schedule sample chairs to be picked up by Reps
- Manage log sheet of all Rep sample chairs and CIS sample chairs
- Manage and maintain all showroom furniture samples and display in appropriate areas of the showroom Maintain CIS sample inventory in warehouse
- Setup for all Meetings, order food for presentations and Lunch & Learns
- Set up for all meetings with food and drink
- Clean up after all presentations Package food and stock fridges as needed
- Keep rep list up to date with current pricing, freight surcharges, etc.
- Schedule and keep the calendar for all Rep presentations for sales team
- Assist “walk-ins” when sales people are otherwise occupied
- CIS Associate contact information to be updated
- Help with double checks, counting products on floor plans or assist with ordering memo fabric samples for project
